Your organization may want to restructure and move a role from one circle to another, or even move a sub-circle to another part of the organization.

You can easily move a role:

  1. Directly from the Governance page

  2. In a Governance meeting

  3. Via a development proposal outside a meeting

Most often restructuring issues are discussed in a meeting to allow each member of the circle to express their opinion.

Holacracy note 🔎: For organizations that apply Holacracy, these changes should be made through the circle governance process during governance meetings


Move a role directly from the Governance page

To move a role from one circle to another, you must:

  • Go to the role page

  • Click on the 3 dots on the right of the page

  • Click on Move role

  • Choose from the dropdown list, the circle in which you want to move the role

  • You can Add a reason to justify your proposal to the other members of the circle. For Holacracy practitioners, you can add your tension

  • Click on Validate if your organization is in open mode. In this case, the changes made will be visible immediately. If you are in a consent decision mode, click on Submit. The changes made will be submitted to the members of the circle concerned and, if there is no objections, will be adopted


Move a role from Governance meeting

Prerequisite:

  • The meeting template must contain the Agenda step and the Governance results activated. For Holacracy practitioners, these changes must be made through the Circle Governance process during Governance meetings

  • You must be the secretary of the meeting to capture the results of the meeting.

  • The meeting must be open for the higher circle than the one containing the role that you want to move

For example, let's move the role "Email Campaign Manager" from the Marketing Circle to the Sales Circle.

It is then necessary to open a governance meeting for the parent circle of the Marketing circle, e.g the General circle.

  • In the meeting, in the Agenda step, import a tension or add an item to the agenda

  • As the secretary of the meeting, click on Add meeting results and select Restructuration

  • Select the circle in which the role you want to move is located; in our example the Marketing circle.

  • In the Move out section, tick the role you want to move; in our example, Email Campaign manager

  • Click on Save and Validate. The changes are made immediately, you can see this change in your organization chart. The Email campaign manager role is no longer in the Marketing circle and is now in the General circle.

  • In the meeting, add a new tension to import the role into the new destination circle. As Secretary, click on Add meeting results and select Restructuration from the drop-down menu.

  • In the Move in section, tick the role concerned

  • Click on Save, and Validate. The role Email campaign manager is now in the Sales circle

  • Close the meeting

These changes are immediately visible in the meeting report and on the circle activity page


Move a role from a development proposal outside a meeting

With the Tensions feature, you can propose changes outside of meetings to save time and speed up decision-making.

This feature only works when your organization uses the consent decision mode.

Tip ⭐: If your organization is in open mode, you can use the feature Move a role directly from the Governance page

You have to:

  • Go to the Tensions page

  • Click on Add a tension

  • Add a Title to your tensions, and select a higher circle than the one which contained the role that you want to move

  • Click on Add evolution and select Restructuration

  • Select the circle in which the role you want to move is located

  • Tick the role you want to remove or import into the circle

  • Click on Save

  • Click on Submit. Your proposal will be submitted to members of the circle concerned and, if there is no objections, will be adopted
