How to transform a role into a circle (and back)?
A role can be extended into a circle or reduced back into a role, similarly by administrators and members of the circle.
⚠️ Be careful: Reducing a circle into a role will delete all projects, checklists, metrics, and meeting reports of the circle concerned.
Who can transform a role into a circle?
Only the members of the circle that the role is a part of can transform it.
Extend a role into a circle from the Governance page
- Go to page of the role or circle you want to transform
- Click on the 3 dots at the top right of the page
- Select Reduce circle to a simple role or Extend this role to a circle
- As a core member of the role being extended, you can click on Validate to apply the changes without needing consent from other members. You can also save this evolution as a proposal in the Proposals app to review and bring to your circle meeting another time.
- If you are not a core member of the role being extended, you can either Submit this proposal to your circle or save it in your Proposals app to review and submit later, either asynchronously or during a meeting.
📌 Note: By extending the role to a circle, the core roles defined in the organization's administration settings will automatically be created within the new circle.
Reduce a circle into a role during a meeting
Meetings provide a forum to discuss changes in structure within the organization and its circles. Governance meetings are usually the best place to examine these types of evolutions. The meeting template must contain the Agenda step and the Governance results box must be ticked.
📌 Note: To reduce a circle into a role in a meeting, the meeting must be opened for the circle that contains the sub-circle you want to reduce into a role.
- Either add your agenda item or import your proposal
- As the secretary, click on Add meeting results
- Choose Circle then select Reduce to a simple role
- Select the circle you want to transform from the drop-down list
- Click on Save
- Click on Validate
Once the meeting is closed, the evolution processed during the meeting will be applied to the organization.
