Open Collaboration on Meetings
Holaspirit offers flexibility for meetings, making collaboration across roles and teams easier than ever! With Flexible Meetings, you can bring together the right people—whether they belong to a circle or not—to ensure productive discussions.
👤 Flexible Meetings are now available in [ Experimental Features ] mode. Only the platform administrators can activate them for the whole organisation.
📌 Note: By default, Flexible Meetings are disabled for organizations using Holacracy add-on, but admins can enable them in Organization Settings.
Flexible Meetings let you assign participants as members, roles, or circles, even without governance links, ensuring the right people are included. You don't need to be assigned to any of those to add them to such a meeting. Organizing it is simple:
Create a new meeting with the Add meeting button
Give your meeting a tittle, date, and define its recurrence
Assign participants by adding individual members, roles, or circles
Choose a meeting template
Set privacy preferences
Confirm by clicking on the Schedule or Open now buttons
⭐ Tip: When assigning circles, those of which you are a member appear in the list. To** add other circles or roles**, enter their name in the search bar and they will appear for selection.

📌 Note:
If the meeting is linked to a single synchronized circle:
All meeting steps from the selected template will be available.
All types of outputs can be created in the Agenda step.
If the meeting includes multiple members, roles, or circles but is not linked to a single synchronized circle:
Only Check-in, Agenda, Custom step, and Check-out steps will be available.
In the Agenda step, the creation of outcomes is limited to tasks.

Flexible Meetings offer customizable privacy settings depending on their structure, allowing you to control who has access to meeting details. The privacy settings for flexible meetings depend on their structure.
👉 For meetings linked to a single synchronized circle, the circle’s existing privacy settings automatically apply.
👉 For meetings including multiple members, roles, or circles (not linked to a single synchronized circle), privacy settings can be configured during meeting creation or editing.
Once the meeting is set up as private, only its participants can access its report.
