Learn how to create, modify and remove a project, task and subtask

🚀 Activate the Experimental features mode to test the new Projects app and share your feedback with our Team!

The Projects app gives you an overview of all ongoing and completed projects and tasks. You have access to your operations and those of other members in the organization.

📌 Note: Activating the new Projects application in Experiments, does not change the functioning of its previous version (Projects and Actions apps) for members who continue to use it. What is done when the experimental mode is activated is available when it is deactivated, and vice versa.


What is included in a Task card?

A task card is described by a title and description. Its card also includes:

What's more, you can also perform the following actions from the task card:

  • Use text editor in the description field, 

  • Copy task URL,

  • Duplicate task and its subtasks,

  • Move task to chosen circle board and its column,

  • Archive task,

  • Delete task.


How to add a Task?

👤 To add a task to a circle, you need to be its member.

From the Projects app

In the Projects app, find My tasks view and click on Add task button:

From kanban view

Choose kanban view and find the Add task button at the bottom of the page:

From circle or role page

On your circle's page, go to the Projects section and click on Add project button:


During a meeting while on the Projects step

During your circle's meeting, go to Projects step and find Add project button:

📌 Note: Only the meeting Secretary can add a project or task during the meeting. Also, make sure the Projects step is included in your meeting template.


How to add a Subtask?

  • Open the desired task card,

  • Click on the Subtasks button,

  • Name your subtasks list,

  • Create new subtasks by clicking on Add subtasks button.


Sub-tasks can be created on as many levels as needed. You can easily spot them by tracing their placement on the top of the task card.



How to edit a Task?

Likewise to adding projects, you can edit a task card from:

  • Projects app,

  • Circle board,

  • Role/circle page,

  • In a meeting. 

Simply click on the selected project and make changes, which will be saved automatically.

📌 Note: All members of a circle can edit its projects, even without being directly assigned to it.


How to delete a Task?


⚠️ The deletion of a task card is permanent and deleted cards cannot be restored. All its subtasks will also be deleted.

From the Task card

Open task card and find Delete button at the bottom:


From the Projects app

In the Projects app, go to My tasks view, find three-dots menu and click on Delete button:


From project board

Go to your project board, find three-dots menu and click on Delete button:

From circle or role page

On your circle's page, go to the Projects section, find three-dots menu next to your project and click on Delete button:

During your circle's meeting, go to Projects step, find three-dots menu and click on Delete button:



How to archive a task?

Likewise to deleting tasks, you can archive a task card from:

  • Task card,

  • Projects app,

  • Circle board,

  • Role/circle page,

  • In a meeting.

By archiving a task, you will remove it from your circle's project board, but you will still be able to consult it with the Archived tasks view. All archived tasks will be available under the box icon on your circle board.

📌 Note: Archiving a task also archives all its subtasks.

Tasks can be unarchived directly from the task card or from the Archived tasks view. Unarchiving a task also unarchives all its subtasks.


How to collaborate on tasks?

To facilitate asynchronous collaboration and communication in your organization, you can mention members in a comment in the Activity section.

Mentioning Members

To mention a member, simply type @ in the comment field, enter member's name and select their name from the dropdown list.

📌 Note: Mentioned members will receive an email notification if their notification settings are configured so.

Mentioning Roles

Likewise to the member mention process, simply type @ in the comment field, enter member's role name and select it from the dropdown list.

📌 Note: Mentioned roles will not receive any notification.
