Circle settings are handled in administration and allow administrators to precisely define how circle generally works across the entire organization.

However, the settings of each circle in your organization can be modified and configured according to its way of working. Each circle can thus configure its settings autonomously and independently of the settings defined for the entire organization.

With this feature, you can customize the way your teams work and interact within a circle. In particular, you can:

Note: Any modification made at the local level of a circle makes the circle independent with respect to the parameters defined in administration and possible future changes at the administration level.


Who can manage the settings of a circle?

Circle Admins

Circle Admins are members of the circle and hold special privileges inside the circle.

They can set up the circle settings for their own circle.

By default, the admins of the circle are :

  • The user that has created the circle automatically becomes a Circle Admin.

  • The role in charge of assignation is automatically a Circle Admin.

  • The role in charge of the link between the parent-circle and the circle is also a Circle Admin.

You can easily identify who the Circle Managers are on the Circle Members page. It is mentioned in red.

A circle admin can assign the management rights of a circle to any circle member in the Circle Members tab by clicking on the 3 dots to the right of the member.

Platform administrators can appoint themselves as admin of all circles.


Customize the general settings of the circle

To edit the circle settings of your circle:

  • Go to the Circle page

  • Click on the 3 dots at the top right corner of the circle

  • Select Settings

General Page: Assignment, Elected Role and Governance Mode

In the first General tab, you can customize the circle settings and the governance mode.

Assignation

In the dropdown menu, select the role in charge of assigning members within the circle. The list is made up from all the roles that exist in the circle. (see also: How do I manage assigned and elected roles?)

Note:

  • If no role is in charge of assigning roles, then all circle members can freely assign members to roles within the circle.

  • A parent circle can still assign non-role members to any subcircle based on the assignment parameters defined within the parent circle.

Roles elected within the circle

In Administration, only core roles can be defined as elected roles.

At the circle level, you will find more possibilities since all roles in the circle can be configured as elected roles.

  • Select the elected roles from the drop-down list.

They can be elected in a meeting or in an asynchronous proposal outside a meeting.

Note:

  • All the roles of the circle can be elected except the roles that are subcircles.

  • A role that becomes elected and which was assigned to one or more members will throw the members that were assigned to the role out in order to be able to proceed to an election.

Governance mode of the circle

Holaspirit allows to choose between two governance mode defining how governance decision processes are handled in the organization. (See this article for more information)

If your circle has a different decision-making process than the organization, you can customize the governance settings. For example, if the time to approve a proposal is shorter in your circle.

  • Choose between Open Mode or Consent Mode for your governance decision-making process.

  • Click on Save.

Note:

  • If the circle switches to Open Mode, the asynchronous evolution proposals being processed for the circle continue their processes.


Manage Privacy of the circle

In the second section Privacy, the admin circle is able to set up the privacy of your circle and decide whether members outside of your circle can have access to its operations and documents:

  • Operations (Actions, projects, OKR, meeting reports)

  • Documents

Note:

  • By default, all "member" users of the platform have access to this information. "Inactive" users do not have access to operations except if there are assigned to the role.


Manage Integrations

Since each team often works with different tools, you can set up integration of different project management and communication apps (Trello, Asana, Slack...) at the circle (team) level

In the third section Integration, the Circle Admin will be able to activate external communication and project management applications for the circle.
