How to add an agenda item during a meeting?

Meetings are the perfect place to discuss subjects inherent to your circle with your team: being able to add an idea, a tension or a proposal into a meeting is essential for collaboration.


How to add an agenda item to an opened meeting?

While your meeting is in progress, you might think of something you want to share with you team. Add your idea as an item tu be discussed during the agenda step of your meeting.

In your circle's meeting:

  • Type your idea in the Agenda box

  • Click on the "+" icon to add it to the list of items to process


How to import a tension to an opened meeting?

With the Inbox app, you can add, review and save you tensions ahead of time in order to discuss them later with your team during Governance and Tactical meetings.

πŸ“ŒΒ Note: Depending on the wording defined in your organization for Inbox, a tension can also be called "Driver", "Spark" or "Note".

πŸ‘‰ Each member of the circle is responsible for creating and importing their tensions to the meeting. The secretary cannot import tensions for other members.

To import a tension from your Inbox to your circle's meeting:

  • Click on the Import button

  • In My tensions, tick the box next to the tension(s) you want to bring to the meeting

  • Click Import to validate

πŸ“ŒΒ Note: The tensions showing in the list are the ones saved in Inbox, that have either been assigned the circle the meeting is for or haven't been assigned a circle at all.

If you cannot attend the meeting on Holaspirit to import your tension(s), you can do it beforehand directly from the Inbox app using the Bring to meeting button.

How to import a proposal to an opened meeting?

Governance meetings are the best place to discuss the evolutions inherent to your circle with your team before implementing them.

You can import the proposals you've created and saved in your Proposals app as well as the ones you've already submitted asynchronously to your circle. You'll find more information on how to create, submit and track proposals in this article.

To import your proposal (saved or already submitted) to a meeting:

  • Click on the Import button

  • In My proposals, tick the box next to the proposal(s) you want to add

  • Click on Import to validate

If you are not able to attend the meeting to import your proposal, use the Bring to meeting button to do it beforehand.

As the meeting secretary, you can also import the proposals submitted asynchronously and currently in progress within your circle, to the meeting. This is the only time the secretary can import an item for other members of the circle.

Follow the same process described above and find your circe's ongoing proposals in the Submitted proposals tab.


How to edit or delete an agenda item from an opened meeting?

After adding your item to the agenda, you might change your mind and want to edit or delete it.

  • Click on the three dots next to it

  • To edit your item, click on Open agenda item and make your changes in the pop-up window, they will instantly be saved

  • To delete your item, click on Delete agenda item


πŸ“Œ ​Note: If an imported tension or proposal is deleted from the meeting agenda, it will go back to its corresponding app (Inbox or Proposals).


How to order agenda items during an opened meeting?

As a meeting secretary, you can order all agenda items imported to the meeting.

  • Go to the Agenda section

  • Drag and drop the agenda items to arrange them to suit your needs
