We know that on the surface, Holaspirit looks like it is intended for companies using Holacracy or a similar system. However, Holaspirit was intended to work for you no matter how your organization operates and structures itself. With role templates, you can adjust the default roles in every circle across your organization - or even just a few circles - to capture exactly how you work.

Edit Role Templates

  • Click on your profile icon at the bottom of the left-hand navigation menu
  • Click on Administration
  • Click on Role templates
  • Click the 3 vertical dots to the right of the role you wish to edit
  • Click Edit template
  • Make the desired changes to any part of the role, including changing the Name, Purpose, Domains, and Accountabilities. For example, you could change a "Lead Link" to a "Leader" or a "Manager" to better reflect your organization's structure.
  • Optionally, you can also use a template from a list of default roles from different structures by clicking Import from Holaspirit library. We are always working on adding more relevant roles from various structures. Have suggestions? Send them to us at [email protected].
  • Click Save

Adding a new role template

  • Click Add a template
  • Follow the same instructions as above to add the desired features
  • Click Create template to save

There are several additional options to be aware of when adding or editing role templates. Here is what they each do:

  • This role needs election: This means that the role must be filled via an election in a Governance meeting rather than being assigned like most other roles.
  • Make this role a core role: This will automatically generate a copy of this role in every circle throughout your organization. Additionally, whenever a new circle is created, a copy of this role will be added into it along with the other core roles.
  • [If you check the above option] This role also exists in the general circle: This will also add a copy of the role to the general circle, which is the broadest circle in the organization from which all other circles stem.
  • This role is represented in the upper circle: This will effectively make the role a representative up the chain of hierarchy within your organization. For example, if you want Circle B to report their successes to Circle A, you could make the role within Circle B and check this box.

Deleting a role template

  • Click the 3 vertical dots to the right of the role you wish to edit
  • Click Delete template
  • Select one of the two options. The first option will only delete the template itself (so it no longer shows up on the Role templates page), but it will leave the role in any circles where the role currently exists. The second option will delete the template and all duplicates of that role throughout the organization.
  • Type the template name in the box to confirm that you want to delete this role. This extra step is a necessary precaution due to how it could potentially disrupt other circles if they rely on that role.
  • Click Delete
