Building the agenda is a crucial part of a meeting. The more time you spend in preparing a meeting, the more productive it gets. Effective meetings come with a clear agenda to makes sure that a meeting stays on track and that everyone knows what is happening and what is going to happen next.

To engage participants in the preparation of meetings, Holaspirit allows circle members to add their agenda items on the next circle meetings.

As much as possible, collaborate on the agenda with other participants: ask them for input on it. Once prepared, share the agenda in advance. And explicitly go through the agenda items at the beginning of the meeting.

Collaborate on the agenda will give a chance:

  • for everyone to come prepared and be more focused and relevant during the meeting.

  • for the Secretary and Facilitator to get a better sense of the meeting discussions and organize the meeting agenda in advance.


How to add agenda items to the next circle meeting?

Pre-requisite:

  • The Meeting Template must include the Agenda step allowing you to triage issues.

  • You need to be a member of the circle the meeting is scheduled for.

Notes:

Once attached to a meeting, your tensions will no longer be shown in your list in the Tensions module. All circle members will able to read your tension before the meeting starts.

How to?

  • Go to the Meeting module and click on the meeting you want to add agenda items to.

  • Click on Add agenda items to create an agenda item. Complete the form with the desired information (Title and Description)

  • Click on Import Tension if you already have prepared a Tension in your Tension list. You will be able to see all the tension created for your Circle and this type of Meeting.

Best practice tips

  • Give your Tension a clear and concise title. It should be explicit so that everyone understand where you're going.
