There are actually 4 types of user privilege with different permission levels in Holaspirit:

  • Members can access all pages, but can't invite members or modify organization settings.

  • Admins can access all pages, invite new members, modify organization settings and view or manage billing information.

  • Inactive are people inside or outside your organization that you invite to view your governance. A very limited role, Inactives can only view the governance tab and access the information about the roles and circles they are assigned to. They are free users.

  • Owner has total control over the account and only can transfer ownership to another user. The person who creates the account automatically becomes the Owner.

This article give your everything you need to know about user right and privilege. Give them the most appropriate level of privilege the users'll require.

User Rights

What can they do?

Users have basic permissions and have access to all the features in the organization (except the admin features). They can :

  • Have multiple Roles in the organization

  • Add new role inside their Circles

  • Edit/Delete the Roles inside their Circles

  • Attach Document to their Roles

  • Participate to meetings of their Circles

  • Add/Edit/Delete Checklists, Metrics, Projects, Actions and OKRs for their Circles

  • Submit asynchronous gouvernance proposal to Circle Members

  • Access all the organization projects, actions and OKRs

  • Consult the Member directory

Notes :

  • Permissions also depend whether the user is part of a circle or not.
    Generally speaking, a user can add/edit/delete items only inside the circle he/she is assigned to.

  • A user can be defined as non-core member of a circle and be excluded from the governance decisions process of the circle. The member cannot vote on any governance proposal nor participate of the meetings of the circle.

Admin Rights

What can they do?

Admin users are the highest level of permissions you can give a user. It basically can see and do anything including adding users or changing your billing.

We advise that you use the admin permissions sets with caution and assign people to it who only explicitly need it.

Inactive Rights

What can they do?

Inactive are free users who can view the organization but have no rights to interact with the activities and roles. They can be assigned to roles/circles but won’t be able to take part into the decision.

Inactive can:

  • Can be assigned to roles (except to core roles)

  • Cannot vote on the governance proposals of the Circle.

  • Cannot add Documents, nor add, edit, delete Metrics, Checklists, Project, Actions, OKRs. They cannot be assigned on these items neither.

  • Cannot attend meeting nor see the meeting reports.

Best practice tip ⭐

Use this level of users to share your organization to people who won’t use much holaspirit to create transparency and clarity about the role's accountabilities and who does what.

When just started with Holaspirit, you can add inactive members to give a first glimpse to what holaspirit is and switch them to Member when they're ready.

Owner Rights

What can they do?

Owner have Admins rights except they can delete the Organization

The owner of the organization is the user who creates the organization by defaults

How to edit a user?

Admins can edit a user's information and privilege after they've been created.

Option 1

  • Navigate to the user card from the Members menu

  • Click Edit member at the top right corner

  • Edit as desired and click Save

Option 2

In the Administration section, go to the Manage users section.

  • Click on the 3 dots at the right side of the member you'd like to edit

  • Click on Edit member

  • Edit as desired the information of the user, his/her privilege on the platform

  • Click on Save

Note : Administrators cannot edit the user email, only the user can.
